How do I keep office and field tasks from getting lost between people?

Create a task with an owner, priority, schedule, and description of the action required. Link it to a customer and job when the work needs that context. Staff can update its status, leave comments, and use subtasks when the action needs several steps or people.

Assign the next action and keep it connected to the customer or job

  1. Describe the action someone needs to take

    Create a task such as ordering a warranty part or collecting a missing document. Enter a clear name, description, reported date, priority, and status so the assignee can understand the request.

  2. Assign ownership and timing

    Select the task type, source, business unit, assigned staff member, and reporter. Add other assignees when more people need to be involved. Set start and end dates and times for the task schedule.

  3. Link the work context

    Select the customer, then the relevant job when the task relates to booked work. A general internal task can be created without a customer or job link.

  4. Work from the appropriate task list

    Filter by status, priority, date, or assignee. Use Only My Tasks for personal work, or the team and specific-people views when permissions allow. Search for the task, customer, or job to find the relevant record.

  5. Record progress and supporting actions

    Open the task to add comments, update notes, or change its status. Create subtasks when part of the work needs its own description, assignee, and due date.

  6. Close the loop

    Record the result and update the task status after the action is complete. The customer or job link and the comments remain with the task so the next person can review what happened.

A job can have work beyond the appointment

A warranty part order or office callback can remain a task connected to the job. Its ownership and timing are explicit even when it is not another customer visit.

Personal and team views

The task list supports personal work and, for staff with the relevant access, all-team or selected-assignee views. Filters help staff review the work they own without opening every job.

Use task types and sources that match your operation

Authorized staff can maintain task types and sources in Task Management settings, including their names, descriptions, and active status. These saved options feed the task form so staff can classify requests consistently. Deactivate a retired option to stop offering it for new work while keeping existing task context.

Yes. Choose the primary assignee and include additional assignees when appropriate. Available actions and team visibility depend on staff permissions.

Can the task link to a customer and a job?

Yes. Select the customer and then the relevant job in the task form. These links are optional for internal work.

Can a task have subtasks and comments?

Yes. The task detail view includes comments, notes, and subtasks with their own status, assignees, and due date.

Can I see only my own tasks?

Yes. The list has an Only My Tasks view, plus priority, status, date, and search filters.
