Can the office and technicians have different access to jobs, pricing, messages, and management tools?

Create individual staff records, choose their roles and business units, and review the Web and Mobile permission presets. Adjust the available permissions for the work each person handles. Automation access and Galileo permissions have their own controls alongside the staff configuration.

Set up staff accounts with the access their work requires

  1. Add the staff member

    Enter the person’s name and email in Staff settings, then choose the appropriate staff type and roles. Review the account’s staff allowance before adding a new user.

  2. Assign the business context

    Choose the business units the person works with and select a primary unit. Set the staff role separately, then review the access that role gives them.

  3. Review Web and Mobile role presets

    Open Role Permissions, select the Web or Mobile permission group, and choose the role. Review categories and individual permission switches rather than assuming every staff member needs the same access.

  4. Save the intended staff permissions

    Review the staff member’s selected permissions and save the record. Keep the permissions tied to actual responsibilities such as managing dispatch, editing estimates, or accessing company messages.

  5. Configure automation and AI access when needed

    Enable the person’s automation access and select an allowed automation role when the account includes it. Galileo uses a separate staff-role permission profile and approval policy; review that profile before assigning AI work.

  6. Review access as responsibilities change

    Return to the staff record and permission presets when a technician takes on office duties or a staff member changes teams. Keep individual accounts and role choices aligned with the work they perform.

Can technicians and office staff use different permission presets?

Yes. Role Permissions separates Web and Mobile permissions, with categories and individual switches for the selected role.

Does assigning a role automatically enable every product feature?

No. Account feature access and the person’s permissions both matter. Automation and Galileo also have their own access settings.

Can one employee belong to more than one business unit?

Yes. Select the business units the person works with and choose a primary business unit. Staff roles and permissions are configured separately.

Can staff manage their own sign-in methods?

Authentication Methods lets the signed-in user manage supported password and Google sign-in links. These sign-in choices are separate from the permissions granted within Nexus.
