Can staff find the installation guide or procedure they need without asking the office to resend it?

Give technicians and office staff a shared reference library

Upload manuals, safety documents, troubleshooting guides, or office procedures into Knowledge Hub. Categorize each file and choose the business units that should see it. Staff can open the original document, and technicians can read and search supported documents in the mobile viewer.

Give technicians and office staff a shared reference library

  1. Upload the reference document

Open Knowledge Hub and add a PDF, image, text file, or supported document. Give it a category such as Install Guides, Troubleshooting, Safety, Warranty, or Office SOPs, and add notes explaining when staff should use it.

  2. Choose the teams that need the file

Assign the document to the relevant business units. Leave the selection empty when the file should be available across business units. Staff still need the appropriate Knowledge Hub permissions.

  3. Check the saved reference

Review the document in the library, including its category, assigned business units, and upload details. Open the original file to confirm that the right version and pages are available.

  4. Open the reference from mobile

Technicians can open Knowledge Hub documents from the mobile dashboard. PDFs open in a document viewer, images have an image view, and other supported files can show extracted text or open in another app.

  5. Find the instruction within the document

Use the mobile PDF search to find matching text and navigate the results. The text view also supports searching extracted paragraphs. Search depends on the text available in the document; the original file remains available for review.

  6. Maintain the library

An authorized user can change business-unit assignments or remove an obsolete document. Keep the library focused on the procedures and manufacturer guidance the team currently uses.

A library for repeat reference

Knowledge Hub holds reusable staff guidance. A completed inspection or customer document belongs in the job-form workflow, where it can be saved with the work and emailed to the customer.

Useful on site

A technician can open a troubleshooting PDF while working at the customer location. The viewer supports PDF text search, so the office does not have to send a separate copy for every visit.

Questions about this workflow

Can I use manufacturer PDFs we already have?

Yes. Upload the PDF into Knowledge Hub, choose its category and business-unit availability, and verify the original file after it is saved.

Can technicians search inside a manual on mobile?

The mobile PDF viewer includes text search and matching-page navigation. Extracted text documents also have a search field. Availability of text affects what can be searched.

Can different divisions have different documents?

Yes. Assign business units when uploading or edit those assignments later. An empty business-unit selection makes the document available across business units to staff with access.
