Can my office manage expenses, journals, checks, and financial reporting inside Nexus?

Run accounting work from supporting records to a reviewed period

Nexus includes native accounting workspaces alongside its external accounting connections. Advanced accounting adds expense review, journal entries, check writing, banking, vendor payments, and recovery controls. The accounting reports show their source and accounting basis so the team can review the records behind each total.

Run accounting work from supporting records to a reviewed period

  1. Configure the accounting mode and accounts

Choose basic or advanced accounting and map the accounts and payment methods your process needs. Advanced setup also checks bank-account mappings and opening balances before those records can support a complete ledger view.

  2. Capture and review expenses

Enter the vendor, amount, tax, category, expense account, employee, and description. Attach a receipt or record mileage when relevant. Save the expense, then approve or reject it through the expense review workflow.

  3. Prepare and post journal entries

Create a draft with account lines, debit and credit amounts, date, reference, and memo. The entry must balance before it can be saved. Post the reviewed entry; posted entries have void and reversing-entry actions when a correction is needed.

  4. Write and issue a check when needed

Choose the account, payee, amount, and memo and save a check draft. Issue and print it through the check workflow. A saved draft leaves the bank balance unchanged; the register retains issued and voided check status.

  5. Review financial reports and tax source records

Select a report and period to inspect profit and loss, balance sheet, trial balance, or current A/R and A/P aging. In Sales Tax, maintain jurisdictions and rates, review recorded tax transactions, and prepare a return draft for the selected jurisdiction and period.

  6. Resolve exceptions and close the period

Review invoices, payroll, unposted journals, and accounting events needing attention. Use Recovery to inspect and retry failed accounting events where appropriate. Close the review period after its blocking readiness checks have been resolved.

Basic and advanced accounting serve different amounts of work

Basic accounting includes invoice and payment review, receivables, credits, vendor bills, tax, chart of accounts, and reports. Advanced mode adds the wider transaction, expense, journal, banking, check, vendor-payment, payroll, and recovery workspaces.

Reports explain the records behind the numbers

Profit and loss uses the selected cash or accrual basis and available cost basis. Balance sheet and trial balance use posted ledger entries through the selected end date. Complete opening balances and posted business activity are needed for a complete ledger report.

Tax preparation retains a clear filing boundary

The tax workflow previews recorded taxable sales, exempt sales, and collected tax for a jurisdiction and saves a draft. Review the source transactions and complete filing with the authority separately.

Cash movement is shown with its scope

The cash-flow view reports recorded bank movement for the period and excludes credit-card accounts. It is not a classified statement of operating, investing, and financing activities.

QuickBooks and Sage remain available for an accounting handoff

Use the configured accounting provider when your office maintains its books externally. QuickBooks document export and Sage approved invoice-batch export keep their distinct supported record scopes.

Inspect the source behind a transaction

Use Transactions to filter and review recorded accounting activity and follow its source details. Check the originating document when an amount needs explanation.

Export the report with its basis and coverage

Download a financial report as XLSX or PDF, or print it. The export includes the selected period or current-aging date and the report’s basis and coverage notes so the next reviewer can interpret the numbers.

Questions about this workflow

Does Nexus have native accounting or only an export?

It has native invoice review, receivables, credits, vendor bills, tax, chart of accounts, and reports. Advanced mode also exposes journals, banking, expenses, checks, vendor payments, payroll, and recovery.

Can I track employee expenses and attach receipts?

Yes. The expense entry includes employee, vendor, category, account, amount, tax, receipt, and mileage fields, with approval and rejection actions.

Can I make manual journal entries?

Yes. Create a balanced draft with debit and credit lines, then post it after review. Posted entries support void and reversing-entry actions.

Does preparing a sales-tax return file it?

No. Nexus previews recorded transactions and saves a return draft. Filing with the tax authority is a separate step.

Can I rely on financial reports before entering opening balances?

Ledger reports depend on posted opening balances and business activity. Configure and reconcile those records before treating a report as a complete ledger view.
